Position Summary
The Seasonal HR Coordinator provides administrative support to the Director of Human Resources across a range of HR operations, with a focus on onboarding, systems administration, and coordination of seasonal and freelance staffing. This is a seasonal role with the possibility of extension based on organizational need and performance. You will help to deliver Tribeca’s 25th Anniversary Festival here in NYC in June! You will be on site in our Tribeca Office in lower Manhattan.Essential Functions
Onboarding & HRIS Administration
- Process new hire onboarding in BambooHR, including initiating workflows for employment contracts, I-9 verification, direct deposit enrollment, and all required onboarding tasks.
- Ensure timely completion of new hire onboarding checklists and follow up with employees on outstanding items.
- Maintain accurate and up-to-date employee records within the HRIS.
Requisition & Staffing Coordination
- Collaborate with managers to facilitate the completion and processing of seasonal and freelance requisition forms (SRFs & FRFs).
- Track open requisitions status and assist in expediting approvals to meet staffing timelines and report to Director any challenges in flows.
Systems & Equipment Setup
- Onboard new employees onto company platforms including Expensify, Slack, and Box.
- Assist new hires with company email setup and coordinate with IT professionals on the provisioning and organization of laptops and other company equipment.
- Support IT staff with any additional equipment-related administrative tasks as assigned.
Orientation & Events
- Assist the Director of Human Resources in organizing new hire orientation sessions, including logistics, scheduling, and coordination of light catering as needed.
- Prepare orientation materials and ensure a welcoming and organized experience for new team members.
- Flexibility to travel to different venues (within NYC and with paid transportation) as needed.
Payroll Support
- Provide light administrative support to the Payroll & Benefits team as assigned, including data entry and document preparation as requested.
Qualifications
- Prior experience in an administrative, HR, or office support role preferred.
- Familiarity with HRIS platforms (BambooHR a plus) and workplace tools such as Slack, Expensify, ShareFile, and Box.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Positive, collaborative attitude and a willingness to pitch in wherever needed.
Compensation
- $1,000.00 per week (equivalent to $25/hour based on a 40-hour workweek)
- This is a non-exempt, seasonal position (March – July) and is eligible for overtime pay for hours worked over 40 in a workweek.
